# Create your workspace

> Set up a home for your team, choose the basics, and invite the people you work with.

A workspace is the shared home for your team's members, records, tasks,
meetings, integrations, and billing. Create one for a team that needs to work
with the same information. If a colleague has already set it up, ask for an
invitation before creating another workspace.

**Before you begin:** sign in to the account you plan to use for work. Decide
on a recognizable team name and have the email addresses of your first
teammates ready. You can send invitations later.

## Set up the workspace

Choose **Create workspace** from the workspace picker, or follow setup after
signing in for the first time. Setup has five steps. The screenshots below use
**Convex** as an example workspace; enter your own details. The product preview
beside each form illustrates how Kato looks as you work through setup.

    Enter **Your name** so teammates can recognize you. You can upload a profile
    photo and optionally select your role and team size. Choose **Continue**
    when you are ready.

  <Step title="Create your workspace">
    Enter a recognizable **Company name** and add your **Company website** if
    applicable. Kato uses the website's favicon unless you upload a company logo.

    Review the suggested **Workspace handle**, which identifies the workspace
    in its URL. Check the availability message and choose a different handle
    if needed, then select **Continue**.

  <Step title="Share how you heard about Kato">
    Select the source that best matches how you found Kato, then choose
    **Continue**. This question is optional: select **Skip for now** to move on
    without answering.

  <Step title="Invite collaborators">
    Add each teammate's work email and choose their role using the dropdown
    beside the address. Select **Add more** for additional people. Check the
    addresses and roles, then choose **Continue**, or **Skip for now** to set up
    the workspace on your own.

    This step prepares your collaborator list. Invitations are sent after you
    choose Pro and confirm them at the end of setup.

  <Step title="Choose your plan">
    Review the plan options and choose **Continue with Free** to start on your
    own, or **Start Pro trial** for team collaboration. Review the trial and
    billing terms shown before completing Pro checkout. You can change your
    plan later.

    If you choose Free, setup opens your workspace without sending invitations.
    After Pro checkout, return to setup. Once the plan is active, select
    **Send invitations & open workspace** to send your prepared invitations,
    or **Open workspace without sending invitations** to do that later.

## Manage invitations after setup

On Pro, open **Settings → Members** and choose **Invite team members**.
Check the email address before sending. Invitations belong to the workspace
where you create them; inviting someone to another workspace does not grant
access to this one.

A pending invitation is different from an active member. Confirm that the
recipient has accepted and appears as an active member before expecting them
to participate in workspace work. See [member management](/documentation/manage-members-and-permissions)
for resending invitations and reviewing roles.

## Check the setup with one real example

Use this first-session checklist on your own, or with a teammate after they
accept an invitation:

* Confirm that you are in the intended workspace. If working together, check
  that your teammate sees the same workspace name.
* Open an existing object and agree on what belongs in it.
* Add one real task with a useful title and assignees.
* Open the task again and check its status, due date, and description.
* Decide who needs to connect a calendar for upcoming meetings.

You do not need to import all historical records or build automations before
this check. The goal is to verify a small, useful workflow together.

## Switch workspaces deliberately

Use the workspace switcher in the sidebar when you belong to more than one
workspace. Check the selected workspace before adding records, connecting an
integration, or sending invitations. Those actions need to happen in the place
where your team will use the result.

## If setup does not look right

| Problem                                     | What to check                                                                                                                                                |
| ------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| Continue is unavailable                     | Enter the company name and handle; resolve any handle availability or form error.                                                                            |
| Collaborators have not received invitations | Adding emails during setup only prepares the list. Finish Pro checkout and confirm **Send invitations & open workspace**, or invite them from Members later. |
| Pro checkout finished but setup is waiting  | Select **Refresh plan status** on the return screen, then finish setup once the plan is active.                                                              |
| A teammate cannot see the workspace         | Confirm the invitation email, acceptance, and the account they signed in with.                                                                               |
| You created a second workspace accidentally | Switch to the intended one before adding more data. Do not assume the two will share records.                                                                |
| You cannot find member controls             | Ask a workspace owner or administrator to check your access.                                                                                                 |
